Obviously each institution has different requirements, but there are a few fundamental principles. You will need to meet the deadlines set by the institution, and any deadlines for application for visas.

The academic year is from April each year, meaning that generally you will need to submit university applications by October the previous year, although you should contact the universities you are interested in at least a year before the start date you are considering. Master's and Postgraduate programs sometimes have two starts a year (April and September), in which case you will probably need to apply by March of the same year for this start.

Language schools generally accept applications until the deadline 2 months before the start of the visa (in January, April, October, December). However, many fill all their available places well before this so it is worth applying well before the deadline.

For language schools there will be no examination except a placement test, but universities and other schools will almost certainly require an examination as part of the enrolment process. If you are applying from abroad, this will usually be in the form of one or more essays that you write and send in; if you are in Japan you will generally have to sit an exam at the university. Undergraduates may have to take the standard entrance exam for all Japanese universities.

Final confirmation on most matters concerning enrolment usually arrives about one month before the start of the course. You then have one month to pay/arrange payment of tuition and other fees to have your documents sent to you so that you can get your visa for travel to Japan.

Enrolments vary - every school and university is slightly different - so contact the institution directly for complete details, and don't forget to do so with plenty of time to spare.
